One of the top five largest professional services association in the world is looking for an enthusiastic Event Project
Manager to join its team to assist the organization in hosting global events that enhance the association’s image,
improve member loyalty and enhance the brand-to member experience through the delivery of successful events.
POSITION OVERVIEW
The Event Project Manager is a direct report to the Executive Director - Events and works collaboratively with
events team to coordinate all aspects of event management. The variety of meetings is excellent from workshops
and roundtables to conferences and summits. You will own your events from initial conception to completion,
supported by our communications team. This role requires excellent event-planning skills with the ability to define
project milestones and deadlines.
The Event Project Manager will provide support to the Executive Director – Events and be responsible for
managing and running various event technologies with knowledge of registration, survey, and event app
platforms.
The Event Project Manager will be responsible for attendee management, handling logistics, monitoring budgets,
booking speakers, analyzing post-event surveys and event performance and reporting on the outcomes. The Event
Project Manager will collaborate with the Communications Team on event marketing and will work closely with
the wider team to ensure the successful production of live and virtual events that meet organizational goals and
expectations while delivering on event objectives.
The Event Project Manager must have the ability to balance creativity with logistics, financial planning, member
relations and vendor management duties effectively utilizing resources to stage events in both live and virtual
environments. The ideal candidate is tech-savvy and should demonstrate exceptional analytical and data reporting
abilities, organizational and multi-tasking skills and a proactive approach to handling issues and troubleshooting
any emerging problems during the planning process and on event day.
KEY RESPONSIBILITIES
Management of all aspects of event projects; production of meetings and conferences onsite and
occasionally in virtual and hybrid spaces
Responsible for running event technologies – create on-line registration, evaluation forms and content
for mobile event app
Conduct post-event surveys, track attendance and attendee engagement to report on the outcomes;
provide clear, well written event recaps
Creation of project administration documents including scope of work, timelines,
production schedules and project progress status reports
Strong knowledge of working with hotels, BEOs and onsite management
Negotiating vendor contracts with risk mitigation top of mind
Propose ideas to enhance attendee experience and event quality to enhance organizations’ brand
Oversee venues and manage all event details such as entertainment, transportation,
equipment, food and beverage, transportation, guest/spouse program
Collaborative work with communication and internal teams to plan and promote events
Conduct site visits, select venues and monitor attendee registration and hotel rooming lists
QUALIFICATIONS AND REQUIREMENTS
Proven event and project management experience
Excellent budgeting, analytical and reporting skills
Knowledge of event technologies – event app, registration and evaluation software, virtual and hybrid
platforms
Outstanding communication skills – written and verbal
Effective negotiation skills
Excellent organizational and multi-tasking skills
A knack for problem-solving
Ability to pay close attention to detail
Thrives in a remote environment with minimal supervision

Proficient in MS Office, expert in exc
