Your Role:
As a Marketing Project & Operations Coordinator, you will serve as the operational backbone of the marketing organization, ensuring that multiple marketing initiatives move efficiently from planning through execution. You will work closely with marketing stakeholders, content creators, and cross-functional teams to coordinate workflows, maintain project visibility, and ensure deadlines are consistently met. Your day-to-day will involve:
- Project & Workflow Management: Managing 40+ concurrent marketing projects across email campaigns, social media, blogs, YouTube content, and other marketing initiatives; tracking tasks, priorities, deadlines, and dependencies to ensure smooth execution.
- Project Management Systems Administration: Administering and optimizing project management platforms such as ClickUp, Asana, Monday.com, Wrike, or similar tools; maintaining workflows, automations, dashboards, reporting, and project documentation.
- Content Operations & Scheduling: Coordinating content calendars, publishing schedules, and stakeholder communications; uploading, scheduling, and performing quality assurance (QA) checks on marketing content across email platforms, CMS/blogs, social media channels, and YouTube.
- Stakeholder Coordination: Acting as a central point of communication between marketing team members and stakeholders; ensuring alignment on priorities, deliverables, timelines, and project status updates.
- Process Improvement & Documentation: Developing and maintaining Standard Operating Procedures (SOPs), improving operational workflows, and ensuring documentation remains organized, accessible, and up to date.
- Execution & Accountability: Monitoring project progress, proactively identifying bottlenecks, resolving issues, and ensuring projects are completed on time while maintaining high quality standards.
What You Need:
To succeed in this role, you should possess:
- Experience: 3+ years of experience in project management, marketing operations, marketing coordination, or a similar operational role; experience supporting marketing teams and managing multiple concurrent projects is preferred.
- Project Management Expertise: Hands-on experience using project management platforms such as ClickUp, Asana, Monday.com, Wrike, or similar tools; experience building workflows, automations, and reporting structures.
- Marketing Operations Knowledge: Familiarity with marketing campaigns, content production processes, publishing workflows, and multi-channel marketing coordination.
- Organization & Multitasking: Proven ability to manage numerous projects simultaneously while maintaining exceptional attention to detail and meeting deadlines in fast-paced environments.
- Communication & Collaboration: Strong written and verbal communication skills with the ability to coordinate multiple stakeholders, provide project visibility, and facilitate cross-functional collaboration.
- Operational Mindset: Highly organized, proactive, process-oriented, and execution-focused; capable of identifying inefficiencies, implementing improvements, and taking ownership of outcomes.
- Problem Solving & Accountability: Ability to proactively identify roadblocks, resolve operational challenges, and maintain accountability for project delivery and execution.
